Shared inbox: how to stop losing a single request
Info@, sales@, contact@: as soon as more than two people read a shared inbox, requests go missing. Here is how to sort and assign every email automatically.
A customer is chasing for the third time. Their request landed in info@ ten days ago. Three colleagues read it. Each one assumed somebody else was dealing with it. Nobody was.
Meanwhile, another request got two different answers, sent ten minutes apart.
The shared-inbox trap
A shared inbox works perfectly well with one person. With two, it holds. With three or more it becomes unmanageable, for one simple reason: an email has no owner.
The symptoms are always the same:
- emails marked "read" but never dealt with;
- duplicate replies;
- flags and folders that everyone uses their own way;
- no visibility at all on the real response time;
- a colleague on leave = their requests on hold.
The false solutions
Outlook or Gmail rules move emails into folders, but a folder is not a person. The email still has nobody's name on it.
Replying "I've got this" to all works for a week, then clutters the inbox even more.
A full ticketing tool does solve the problem, but usually imposes a heavy change of habits on a small company.
What works: one request, one card
The right approach comes down to three principles:
- Route automatically. Business rules send each email to the right department or the right person: by subject, by sender, by keyword. An invoice goes to accounting, a breakdown to maintenance, a dispute to legal.
- Turn every email into a card. With an owner, a status and a due date. Nobody asks "who is dealing with this?" any more: it is written down.
- Keep your mail client. Teams go on replying from the inbox they already use. No new tool to learn in order to write an email.
The result
Not one request without an owner. A clear board of what is open, late, closed. And a manager who finally knows how long an answer actually takes.
How Klaro Cards goes about it
Klaro Cards' Email sorting & routing module connects to your existing mail server. It distributes incoming emails according to your own rules (Legal, Support, Maintenance…) and turns every request into a traceable card with a status, an owner and a due date. No email lost, no request forgotten. The module can be taken on its own, from €18 to €20 per user per month.
