Exquando works in the field of information governance. The problem that Exquando aims to solve is the following:

In a world that is becoming more and more digital, with countless online software and information, and with continuous turnover of personnel, companies are confronted with ever- increasing information chaos.

To address the problem, Exquando has developed a methodology for managing information. Klaro is used to put this methodology into practice.

Before Klaro

  • Exquando consultants conducted an audit of the client's application portfolio as well as assessments of available information, the regulatory environment, stakeholders, roles, responsibilities for information, etc.

  • The results of enquiries and interviews were recorded to create a long PDF document representing a comprehensive view of the client's digital situation. The consultancy team prepared recommendations based on this document.

  • A steering group discussed the document and recommendations, and representatives of the client worked out a plan of implementation.

  • The digital practices of the client were updated.

Over the last 20 years, the ways that companies deal with information have become so complex and the evolution of the digital landscape has accelerated so fast that approaching the matter with...

Companies have evolved from vertical organisations to organisations that function much more horizontally, with entities working autonomously and decision-making being decentralised. Multiple centres of decision-making mean that the map of the company's information system needs to be continually updated. Multiple parties working with track changes on a PDF is inadequate and too difficult to manage in this situation.

A new way of implementing Exquando's solution was needed.

Working with Klaro

Using Klaro:

  • Updating is continuous; track changes are no longer made in a single overall document but instead are made on each element of the information system individually.

  • Navigating the system is made easier; users can move between regulations/training/roles/information/etc. in a single click.

  • There is no longer a single way to display the elements of the information system – there are as many as required. For example, users can view the application portfolio by supplier, by domain, by category of application, etc.

  • The client can contribute and participate in updating the system.

With the ability to organise and display the information system in many ways, Klaro helps to foster alignment. Teams are able to create communal understandings of the realities and complexities of their information systems much faster than by using a PDF or text document. And better decisions can be made accordingly.

With decision-making, there is now a way to associate single or multiple tasks to each item on the information system depending on requirements. All decisions for actions and transformation can be made via a Kanban where priorities and responsibilities can be assigned. The overall transformation of the client's information system happens in an agile way through a shared understanding of problems.
